ASID AZ South Chapter
Attention: NEW POLICY
As of 2/20/2006

• Upon receipt of phone or email RSVP’s from ASID membership for monthly meetings or events you will be responsible for the charges associated with that meeting or event.
• If you are unable to attend due to unforeseen circumstances you will still be held responsible for the charge associated with that meeting or event and a bill will be sent from the ASID AZ South Chapter Treasurer for payment.
• If cancellation of RSVP has been received and acknowledged three business days before the event, these charges will not be incurred.
• If you do not RSVP and decide to attend, you are welcome to do so and will be charged at the door, but we cannot guarantee a meal or suitable accommodations will be available to you. 
   

We work diligently to produce top quality meetings and events and we welcome and encourage everyone’s attendance at every meeting.  It is not our goal to discourage or dissuade attendance. We understand the changing nature of professional schedules and we encourage attendance even if the plan to attend is last minute and without a means to RSVP in a timely fashion.  It has never been our goal to make money at these meetings or events, as the amount we charge is to cover our direct costs.  We are required to give a final head count to the restaurants, hotels, caterers, etc up to three business days in advance so they can be prepared to adequately serve us. We are required to pay for the full head count that we report to these facilities whether attendance reaches the full count reported or not.  Thus, if we have reported your attendance and you are unable to attend due to unforeseen circumstances ASID AZ South Chapter still incurs the debt.  Since we do not make money on these meetings or events the result is a loss of funds from our treasury.  We cannot continue to incur debt at meetings and events and therefore have created the policy you see above.
